The System for Award Management, SAM.gov, is the government’s single registry of entities that want to do business with it. No active registration, no award, and in most cases no payment on an existing contract either. The part that catches companies out is that the registration is not permanent. It must be renewed every year, and the renewal is not automatic.

What the registration contains

Your legal business name and address, your Unique Entity ID, your tax identification, your banking details for electronic payment, your NAICS codes, your size and socioeconomic representations, and a set of annual certifications known as the Representations and Certifications, or Reps and Certs. Contracting officers rely on all of it when they make an award.

Why it lapses

SAM registrations are active for 365 days from the date of activation. The annual renewal exists because the Reps and Certs are legally binding statements about your business, and the government wants them refreshed. Allow the registration to expire and your entity shows as inactive. Contracting officers cannot award to an inactive entity, and payment offices routinely hold invoices until it is fixed.

The renewal process

Renewal is free. Log in to SAM.gov, select your entity and work through the update, confirming or correcting each section and re-certifying the Reps and Certs. Expect a review period after submission; it can take several business days, and longer if anything about your entity has changed. For that reason, start sixty days before your expiration date, not the week of.

Common mistakes

Changing a business address without updating SAM. Letting the person who holds the login leave the company. Assuming your accountant or attorney handles it. Ignoring the renewal reminder emails because they look like spam. Each of these has cost a real company a real award.

Practical steps

Put your SAM expiration date on the company calendar with a sixty-day warning. Assign a named person responsible for it, with a backup. Keep a copy of your current registration and your notarized letter on file. And never pay a third party to renew your registration; the government does not charge for it, and companies that do are selling you a free service.
